Change default font in Word 365: A step-by-step guide



Our guide below is going to show you how to set the default font in Microsoft Word so that you can save yourself some time, and avoid any mistakes that might occur if you happen to forget to change the font.

Now you can close Word and open it back up. If you create a new document it will be using the default font that you just selected. You can perform this action at any time to adjust the default font for new documents.


Once you know how to change default font in Office 365 with the steps that we outline above you will be able to navigate back to the font dialog box that we had open if you would like to update the font style that you use for a new blank document if you would like to make additional changes to the default font setting used by the normal template.


Upon installation, Microsoft Word uses the Calibri font and 11 point font size as the default settings. You can change the default font by following the steps below. Keep in mind that this is a machine-specific setting, so you will need to repeat these steps for any new computer that you login to.


Microsoft Office apps (such as Word, Excel, PowerPoint, and Outlook) come with a set of default settings to start working with a document immediately. This includes a default font family (Calibri), font style (regular), and font size (11-point) on the current default document template, but you can specify your preferred font settings if your requirements are different.


While adjusting the font settings in Office is easy enough, you may want a new default configuration, to save unnecessary steps every time you open an Office app. Maybe you want to start with documents using a newly installed font. Or you find yourself changing the same settings every time you create a blank document using an Office 365 subscription (opens in new tab), the standalone version of Office 2019, Office 2016, or an older version.


Important: These instructions will only apply to Word. If you want to set a default font for Excel, PowerPoint, or another app, you need to use the same steps but in the individual apps that you want to customize.


Although you can change the font settings in a document, this option is only available for the desktop version of the Office apps. If you try to change the settings in the online version of Word, Excel, or PowerPoint, the next time you create a new document, the font settings will reset to its original configuration.


The degree to which seemingly minute differences in typography can create visceral responses (who can forget the infamous Papyrus sketch on Saturday Night Live?) is a testament to the art and science of font design. The design of an individual letter may be artistic but getting all these individual letters to work together to make words, sentences, and paragraphs is a science of its own. In typeface design, the space and shapes between letters is just as critical as the letter shapes themselves.


By default, Word will use Calibri (body) as font family with 11 pixels size in Windows version. Word for Mac uses the same font family Calibri but the size will be 12 pixels. You can easily change the font family and size of text content within your document. However, it will be annoying to change the font on each document if you do not like to use the default settings. In this article, we will explain how to change default font in Microsoft Word Windows and Mac versions as part of Microsoft 365.


When done, you should repeat these steps if you want to change the font used for the return address. The only difference, of course, is that in steps 7 and 8 you should select the Envelope Return style.


When you save your document or close Word, you are asked if you want to save your changes to the template. Make sure you do this. Your envelopes, when created in a document that uses this template, should now use the font you specified.


One of the most persistent frustrations legal users have with Microsoft Word fonts is the default font settings. Fortunately, you can permanently change just two Styles (+Body and +Headings) to give your documents a more businesslike typeface.


Hi, Does anyone know if it is possible to change the default font within office 365 applications online for all users? I have noticed the font we want to use is available in Word and Excel but not Power point or Exchange online. Will it be possible to change it on an app by app basis or maybe enable us to upload the font Gil Sans MT into Exchange online and Powerpoint so we can cover all the apps?


Hi, Thanks for the reply. The script looks like it is just for Exchange online not the other office apps such as word,excel ect. Unfortunately the font we want to use isn't available on the exchange online app but it within word and excel. Thanks


Hi Darren, These steps are fine when using the fonts from the cloud onto the desktop installed version of office. We need a way to do it the other way round, so our desktop install of Office all have the font Gil Sans MT as enforced default. This font is not present in all Office Online Apps so we need a way to try and get the Gil Sans MT font showing in outlook and powerpoint online. Thanks


Hi Miller - We're trying to achieve the same thing, set a font that is already available in the installed Office applications but just want a way to set it as the default to use for the entire organization. You mentioned you found a policy to enforce that?


I would like to assign some hotkeys to switching font colors in word on my macbook. I just need something to toggle between red and black color. I went to Tools->Customize Keyboard0->Fonts, but I don't see an option to set hotkeys for Font Colors, only for font type.


When you create a new blank document in Microsoft Word, the application automatically sets the typeface to Calibri. This is convenient only if Calibri is the font you want to use. If it is not your preferred default font, you can change it.


Note that you cannot change the default font if you are using Word Online. Although you will be able to change the typeface in the current document, the next time you create a new blank document, the font will automatically be set to Calibri.


Once the Font window appears, you can change the default font style, size, effects, and even the color if you want. When done, click the Set As Default button in the bottom left corner.

I am trying to adjust the number list and bullet lists with less indent spacing. I have tried a number of different methods (from all over the web, including Stack Exchange) to do this but every time I attempt it the default 0.5 indent by returns.


In Outlook 2003: If stationery is set as the default under Use this stationery by default, the font specified in it may override the font you have just chosen. You can either modify the stationery to include your favorite font or set Outlook to ignore fonts that are specified in the stationery altogether.


If you want to change the font options for only a single message, you can do this while composing the email. At the bottom of the window in which you're writing the message you'll find many options for changing the appearance of your text. These settings will apply to this email only.

I figured out (after trying everything listed here) that you cannot save a font change for envelopesif you are using a document from a previous version of Word. I set up a letter from scratch by going to File, New, Blank Document. When I went to print an envelope, the delivery address was (VOILA!) in the font we use in this office. The only thing is that I do not know at what point in trying all of the suggestions on this web page that our font was saved. What a pain. Microsoft needs to get on the ball and get this bug fixed soon. If not, I may talk my boss into replacing this program with WordPerfect or some other document processing software. I wonder how may other bugs are contained in this program.


Hi:I had the same tbl as you. CMWINTERS has the solution. (see below) Open Word 2010, click File,options,add-ins at the bottom find "Manage COM add-ins" click Go Uncheck all COM add-ins. (or try one at a time until you find the trouble maker.Return to Word 2010 and change the default fonts for ENVELOPES. However after each "Save as defaault font under normal template" you must exit Word 2010. Then ckick "YES" when it asks you "You have changed the default font do you want to save these changes"?
